Who’s doing What? When? (sort of choosing May 1st as the official start date)- Serials / e-maintenance staff (looking for a new name for this group) – possibly Resource Management Services – Pauline created a wiki (http://resourcemanagement.pbwiki.com/) to manage all the new procedures, workflows, etc.
- Working on who will handle materials which used to be sent to LC Searching, added volumes, adding electronic to previously print only records, ceased titles, etc.
- All staff will be trained on SFX/Verde/Serials Solutions to differing degrees – still need to decide who will do what parts.
- We are looking for a new name for the combined Acquisitions / Cataloguing section. Wade has created a wiki (http://collectionsatmac.wetpaint.com/) where he has called this new combined unit Collection Services.
Cataloguing staff- There are now 4 original cataloguers working ½ time in this area
- We want them to focus on cataloguing truly original materials- ie. Master’s theses, rare books, Russell Archives materials, Canadian history and literature (all books from B. Prince), series with no MORRIS authority record, music materials (scores, CD’s), McMaster publications
- We still need to do some work on how to prioritize what needs to be done first; we need to define a manageable amount of work for the time they are here
Acquisitions staff- accepting core or full records from OCLC for materials received from vendors and/or independent suppliers as well as for donations
- will continue to do this for all FIRM orders as we move forward
- first shipment of fully processed materials (spine labels, barcodes, McMaster ownership stamp, security strip) due mid-May (YBP, Blackwells)
- working towards a limited approval plan for new fiscal year
- brief records for Master’s theses
- In Process and On Order requests
- Kim: still doing newspaper and microfilm work; has taken on handling repairs, missing pages, etc., from Circ/Reserve ; will work with Leslie Edwards to work out a system for doing some internal repairs, sending to commercial binder, etc.; not sure what else she will be doing yet; she will work with Leslie receiving materials, she is helping complete the processing of new books which need item records, etc.; she will possibly help with things like the de-duping project, etc.
Miscellaneous: - De-duping project – Donna, Linda, Bev (Angela?) and Bib Service students have been working on this; have been focusing on the 5th floor (B’s, C’s, D’s, just starting the E’s) and have removed approximately 5000 volumes to date; will continue throughout the summer
- Students – 4 students have been hired for the summer; 3 will be crossed trained for Serials/Bib Services functions (hope to keep these students for next year during term); one will work on projects
- as of May 1st Collections staff will not be providing any support to Shipping – bins, backup, mail delivery, etc. – this will be assumed by the Facilities (previously Stacks/Control staff)
- working on reconstituting the Bib Services Liaison Group and the UL Digital Content Committee to focus more on access to our collection and collection management respectively; more information will be provided about these as they unfold
- Collections Related summer projects:
- Re-sequencing Mills Gov Pubs collection – will be some withdrawals
- Lots of moving of collections at Thode, but probably won’t impact much on our staff directly.
Where will people live?- I.T. is moving to the 5th floor – sometime in May probably – there will an office for 7 librarians along the east wall with room for 6 staff areas and 2 coop students – Karen, Bev and Donna will move into this area
- We need to look at the Serials/e-maintenance staff + Acqns staff areas – there is room for everyone as it is now, but we may want to tweak a little
- New e-Resources Librarian could go into my old office
- could possibly have this person go into A. Plessl’s old office
- Wade will likely be moving into A. Plessl’s old office
- may move into A. Pottier’s old office
- At the moment I am thinking about the Orig’s being located in a pod outside of my office (need new workstations, shelving, etc)
- could possibly take down all metal shelving outside my old office and put Orig’s into this area, outside of Wade’s office
- Kitty may go into Gloria’s office
- Equipment (p/copier, fax, etc) may go behind my office – accessible to IT staff or could go into Gloria’s office
- New idea (from after the meeting) – move V. Cranmer into Gloria’s office or outside Anne Pottier’s office if we relocated Orig’s and Wade to the southwest corner
Things to take into consideration when planning new spaces:
- Labeling workstation (what is needed?)
- Serials history files > do we still need these?
- Repair workstation + supplies > need workspace
- Supply cabinet > can we down size?
- Excess furniture > have it moved off the floor as soon as possible (note: will be marking this with coloured post-its and Mark will have his students remove it)
- Remove excess shelving > how much do we really need if collection will be not be on the floor for that long > need shelving for collections, new books, etc.
- Where will network printers be situated?
- Mail bins > where should these go?
- Need to move the point-of-sale (debit/credit card) machine from ILDS to 5th floor so accounts staff can process ILDS payments > needs to live near the fax machine so these two machines can share the direct Bell phone line
- Orig cataloguers need access to the reference tools on the goodie day bookcase
